Academic Office Coordinator
Location: Chicago, IL
Employment Type: Temporary (Temp-to-Hire Opportunity)
Duration: Approximately 3–4 months with potential for extension or conversion
Compensation: $20-$28/hour depending on experience
We are seeking a highly organized and detail-oriented Academic Program Office Coordinator to support a program within a university medical school environment. This role plays a key part in ensuring the smooth coordination of academic operations, curriculum activities, and administrative processes that support both faculty and students.
The ideal candidate is proactive, adaptable, and comfortable working in a fast-paced academic setting with multiple stakeholders.
Key Responsibilities:
- Coordinate day-to-day administrative and academic operations for the program
- Support curriculum scheduling, course logistics, and academic calendar management
- Serve as a key point of contact for faculty, students, and administrative teams
- Assist with meeting coordination, agenda preparation, and documentation of notes and follow-ups
- Maintain and update academic records, databases, and program documentation
- Support onboarding activities, orientation logistics, and program events
- Help ensure compliance with internal academic policies and procedures
- Provide general administrative support to program leadership as needed
Qualifications:
- Prior experience in administrative support, academic coordination, or higher education preferred
- Strong organizational skills with the ability to manage competing priorities
- Excellent written and verbal communication skills
- High attention to detail and strong follow-through
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, Teams)
- Ability to work independently while also contributing to a collaborative team environment
- Experience in healthcare, medical education, or university settings is a plus
