Title: Executive/Administrative Assistant

Location: New York, NY (Hybrid)

Schedule: 9:00 AM – 6:00 PM

Start Date: Immediate

Duration: Through September 2026 (with potential to convert to permanent)

Pay Rate: $41/hr

 

We’re seeking an experienced Administrative Assistant with executive-level support experience for a long-term contract opportunity with a prestigious global investment management firm in NYC.

This is an excellent opportunity for a polished, detail-oriented professional looking for stable, high-visibility work through at least September 2026, with the potential to convert to a permanent role.

 

What You’ll Do

  • Provide seamless administrative support to executive and senior-level professionals
  • Manage complex calendars and scheduling with precision and attention to detail
  • Coordinate domestic and international travel arrangements
  • Track, organize, and process expense reports (Concur experience a plus)
  • Partner closely with other EAs to coordinate internal and external meetings
  • Assist with presentations, reporting materials, and CRM data entry
  • Handle ad-hoc projects and provide administrative backup as needed

 

What We’re Looking For

  • Bachelor’s degree required
  • Minimum of 2+ years of administrative experience in a fast-paced corporate environment
  • Prior experience supporting executives in financial services or professional services strongly preferred
  • Several years experience with travel coordination
  • Exceptional organizational skills with the ability to manage competing priorities
  • Strong communication skills and a client-service mindset
  • High level of discretion, professionalism, and attention to detail
  • Proficiency with Microsoft Office; experience with Concur and CRM tools a plus
  • A proactive, adaptable attitude – no task is too small

 

Work Environment

  • Must be able to work onsite 5 days per week for the first two weeks to shadow the current EA
  • After onboarding, the role will follow a hybrid schedule (minimum 3 days in office, more as needed)
