Position Overview:
We are seeking an experienced and detail-oriented Global Head of Facilities to oversee office managers and administrators across various locations. The ideal candidate will have 8-15 years of experience in senior administrative roles, HR, and fast-paced environments, with the ability to efficiently manage multiple tasks. This role involves ensuring smooth office operations, supporting teams during a growth phase, and coordinating schedules, meetings, and key projects. The Global Head of Facilities will play a vital role in maintaining organizational efficiency and fostering a positive work environment.

Responsibilities:

  • Manage USA-based and international offices, workplace programs, and events.
  • Oversee administrative support to ensure offices run smoothly.
  • Provide reliable support for operations by implementing procedures and communicating them across office locations to create an exceptional employee experience.
  • Foster a positive and inclusive work environment to enhance organizational efficiency.
  • Develop and implement best practices for office operations.
  • Support key projects, including research and administrative tasks.
  • Manage office-related tasks such as pantry inventory, event planning, and catering.
  • Assist teams and office personnel as needed.
  • Supervise team members in multiple locations, including New York, Boston, and Minnesota.

Qualifications:

  • 8-15 years of administrative experience, ideally within HR.
  • Experience in fast-paced environments.
  • Experience in financial services or real estate is a plus.
  • Strong organizational and multitasking skills, with keen attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office (Excel, Word, Outlook, PowerPoint).
  • Experience with Workday is a plus.
  • Ability to manage multiple tasks and meet deadlines in a fast-paced setting.
  • Bachelor’s degree required.
  • Ability to work under pressure.
  • Demonstrated ability to take ownership of tasks and work both independently and within a team.
