Executive Assistant
Location: London- located in the heart of the City of London, near the Barbican and Moorgate areas
Workplace: 5 days onsite: Monday-Friday
Salary: £70-90K base
Reporting to: Head of Corporate Access
About the Role:
We are seeking a proactive and dynamic Executive Assistant to support our client's Head of Business with additional support to the COO, Head of People, and HRBP. This role is integral in ensuring the smooth operation of executive functions and requires a high level of discretion, initiative, and professionalism. The ideal candidate is a self-starter who can navigate complex, fast-paced environments and foster strong relationships with senior leaders and colleagues.
Key Responsibilities:
- Executive Support: Provide dedicated support to the Head of Business, including managing a busy calendar, coordinating meetings, and screening requests from PMs and other stakeholders.
- Project Management: Stay two steps ahead of executive needs, anticipating requirements and managing projects from inception to completion with minimal supervision.
- Meeting Coordination: Organize and arrange onsite and offsite meetings, events, and executive sessions, ensuring seamless logistics and preparation.
- Communication Liaison: Serve as the primary point of contact between the Head of Business and internal/external stakeholders, communicating professionally and effectively on their behalf.
- Travel Management: Arrange complex travel itineraries through the internal travel department, ensuring all logistics are meticulously planned and documented.
- Document Preparation: Compile and create executive-level reports, presentations, and status updates. Maintain accurate records and filing systems.
- Event Planning: Plan and execute business events and meetings, managing all related logistics to ensure successful outcomes.
- Administrative Duties: Answer phones, manage voicemails, and perform other administrative tasks as needed to support the Head of Business and Central Team.
Ideal Candidate Profile:
- Building Relationships: Someone who can seamlessly integrate into the team culture and build a strong rapport with the Head of Business and other executives.
- Proactive & Attentive: Able to preempt needs and manage the executive’s time and priorities with a proactive, problem-solving mindset. Not overly intrusive, but always one step ahead.
- Professionalism & Discretion: Demonstrates high ethical standards, confidentiality, and discretion in handling sensitive information and executive interactions.
Required Qualifications:
- Minimum of 5 years of experience supporting senior executives, with a blend of executive assistant and project management skills.
- Excellent communication skills, both written and verbal, with a strong command of English grammar and composition.
- Proven track record of problem-solving and critical thinking in dynamic environments.
- Superior organizational skills, attention to detail, and the ability to manage multiple priorities simultaneously.
- Proficiency in Microsoft Office Suite, including Excel, PowerPoint, and other relevant software.
- Bachelor’s degree required.
